This policy explains what personal information Bristol Phoenix Group Ltd collects when you contact us or use our services, why we need it, how we look after it and the choices you have. We have kept it short and in plain English. If anything is unclear, just ask.

Who we are

Bristol Phoenix Group Ltd is the data controller for your information. We are an electrical contractor, registered in England and Wales under company number 15015814. You can contact us about anything in this policy by emailing info@bristolphoenixgroup.co.uk or calling 0117 244 7382.

What we collect

We only collect what we need to deal with your enquiry and carry out your work:

Your contact details: your name, email address, phone number, the address of the property and its postcode.
Details of the job: the services you are interested in, property details such as its size or number of fuse boards, your preferred timing, your message and any photos you send us.
Records of the work: quotes, invoices, payments, electrical certificates and reports, and notes we make about your installation.
Messages and calls: emails, WhatsApp and social media messages you send us, and notes of phone calls.
Website data: basic information about how our website is used, collected by cookies (see below).

How we use it, and our lawful basis

To reply to your enquiry and prepare a quote. This is a step you ask us to take before any contract, and the tick box on our form confirms you are happy for us to store your details for it.
To carry out, certify and guarantee the work you book with us, which we need to do to perform our contract with you.
To meet our legal duties, including registering notifiable electrical work through our competent person scheme (NAPIT) so your local building control has a record of it, and keeping tax and accounting records.
To run our business properly, for example keeping records in case of a question about the work later, handling complaints and improving our website. These are our legitimate interests, and we only rely on them where they do not override your rights.

We only contact you about your enquiry and your work and, if you are an existing customer, with useful reminders such as when your electrical inspection is next due. You can ask us to stop those reminders at any time. We never sell your information or share it with anyone for their own marketing.

Who we share it with

Only with people and services that help us do the job, and only what they need:

Subcontractors who carry out your work with us.
NAPIT, our competent person scheme, which registers notifiable work with local authority building control.
Our accountant and bookkeeper.
The software we use to run the business, including email and file storage (Google), job management and quoting (Tradify), accounts (Xero), our website host (Krystal), the service that delivers our website form messages to our inbox (Brevo) and the tools that sort our email.
Anyone we are legally required to share it with, such as HMRC.

We use automated tools, including an AI assistant, to sort incoming messages and to help us draft and send replies. No decision with a legal or similarly significant effect on you is ever made by automated means alone.

Some of these providers store data outside the UK. Where they do, the transfer is protected by UK adequacy regulations or by the provider’s standard data protection clauses.

How long we keep it

Enquiries that do not lead to any work are deleted within two years. If you become a customer, we keep job records, quotes, invoices and certificates for six years after the work, because we need them for tax, for any guarantee claim and to show the work met the wiring regulations. We may keep electrical certificates for longer, so we can give you or a future owner of the property a copy if it is ever needed. We review what we hold once a year and delete what we no longer need.

How we keep it safe

Our website runs over a secure (HTTPS) connection, we keep our systems and accounts secured, and access to your information is limited to the people who need it. If something ever went wrong that put your information at risk, we would tell you, and the Information Commissioner’s Office where the law requires it.

Cookies

Our website uses a small number of cookies. Some are strictly necessary for the site to work and stay secure. We also use Google Analytics cookies to count visits and see which pages people find useful, so we can improve the site. It is set up for analytics only: advertising features and Google signals are switched off, we do not use it to identify you, and it does not follow you around other websites. Google processes this information on our behalf.

You can turn analytics off at any time with the Cookie settings link at the bottom of every page, and it stays off on that device. If your browser sends a Global Privacy Control signal, analytics stays off automatically. You can also block or delete cookies in your browser settings, or use Google’s opt-out tool.

Some pages also load fonts, and on some pages customer reviews, from other providers’ servers, which receive your IP address in order to deliver them.

Your rights

You have the right to:

ask for a copy of the information we hold about you;
ask us to correct anything that is wrong or incomplete;
ask us to delete your information, unless we have to keep it by law;
ask us to restrict or stop using your information, or object to how we use it;
ask for your information in a portable format;
withdraw your consent at any time, where we rely on it.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
